Privacy Policy

At Scout Solutions, we believe technology should serve people, and
that principle guides how we handle information. This policy gives the
legal detail, but the commitment behind it is simple: we are careful
stewards of any data you entrust to us, and we protect it the way we
would want our own protected.
This Privacy Policy applies to scoutsolutions.com, our applications
and integrations, and the services we provide to our clients. Scout
Solutions LLC is referred to here as “Scout,” “we,” “us,” or “our.”
Our role as a data
processor (client data)
Most of the data Scout touches is not ours. In delivering consulting,
software, automation, cybersecurity, and managed services, we access,
store, and process data that lives in our clients’ own systems and
accounts, such as Microsoft 365 and QuickBooks Online. That data may
include personal information about our clients’ people and their
contacts. We call it “Client Data.”
For Client Data, Scout acts as a data processor (or “service
provider”); our client remains the data controller. Our handling of
Client Data is governed exclusively by our written agreement with that
client (for example, a master services agreement and, where applicable,
a data processing addendum). We process Client Data solely to provide
the services the client has engaged us for.
We treat Client Data as our most sensitive confidential information.
We do not use it for our own marketing, analytics, product improvement,
or to train AI models, and we do not use it for any purpose other than
fulfilling our obligations to that client.
Information we collect
directly
Information you provide. When you contact us,
request information, or engage our services, you may give us your name,
email address, phone number, company, and the contents of your
messages.
Information collected automatically. When you visit
our website we may collect standard technical information such as your
IP address, browser type, pages viewed, and the dates and times of your
visits, through cookies and similar technologies. Our website uses
Google Analytics (via Google Tag Manager) and HubSpot to understand site
usage and support our marketing; these set cookies and collect usage
data as described in their own privacy notices.
How we use information
We use the information we collect directly to respond to inquiries,
provide and improve our services, communicate with you, meet our legal
and contractual obligations, and protect the security and integrity of
our systems and our clients’ systems.
How we share information
We do not sell your personal information. We share it only as needed
to run our business and deliver our services, specifically with:
- Service providers who perform functions on our
behalf (for example, hosting, email, and software platforms), under
obligations to protect the information. - Professional advisors such as accountants and
attorneys, where appropriate. - Authorities or others when required by law, to
enforce our agreements, or to protect the rights, safety, and property
of Scout, our clients, or others. - A successor in connection with a merger,
acquisition, or sale of assets, subject to this Policy.
Third-party platforms
Our services and integrations connect to third-party platforms that
have their own privacy practices. Our use of information obtained
through those platforms is limited to providing the services requested,
and is governed by our agreements with the relevant client and by the
platform’s terms. This Policy does not cover the practices of third
parties we do not control.
Data security
We use administrative, technical, and physical safeguards designed to
protect information against unauthorized access, use, or disclosure. No
method of transmission or storage is completely secure, so we cannot
guarantee absolute security.
Data retention
We retain information for as long as needed to provide our services,
meet our legal, tax, and contractual obligations, resolve disputes, and
enforce our agreements, after which we delete or de-identify it. For
Client Data, retention and deletion follow our agreement with the
client, including any right-to-erasure request the client directs us to
carry out.
Your privacy rights
You may request access to, correction of, or deletion of the personal
information we hold about you, and you may opt out of marketing
communications at any time. To make a request, contact us using the
details below, and we will respond as required by applicable law. If
your request concerns Client Data, we will direct you to the relevant
client, who controls that data.
State privacy rights. Scout is a small business and
does not sell personal information, and we are generally exempt from
current state consumer privacy laws (including the Minnesota Consumer
Data Privacy Act). Even so, wherever you live, we honor requests to
know, correct, or delete the personal information we hold about you, and
to opt out of marketing, at no cost. Contact us using the details below
and we will respond promptly.
International data. Scout is based in and processes
information in the United States. Where we process Client Data that
originates in the EU, the UK, or other regions with cross-border
transfer rules, we do so under our agreement with the relevant client
and its data processing addendum, including any transfer mechanisms
(such as Standard Contractual Clauses) that agreement requires.
Children’s privacy
Our website and services are directed to businesses and are not
intended for children under 13, and we do not knowingly collect personal
information from them.
Changes to this Policy
We may update this Policy from time to time. When we do, we will
revise the effective date above and post the updated version on this
page.
